Information about a specific option/detail
An itinerary based on a single aspect, for example: places to visit, unique accommodation options, or simply checking the feasibility of your itinerary.
The various options for the itinerary are agreed with the Client during a preliminary consultation; the terms and conditions, as well as the price, will be set out in the contract signed between the Company and the Client.
Examples of bespoke requests:

- Planning for a solo traveller
- Search for individual services (flights, accommodation, activities, etc.)
- Creation of a travel journal based on your personal research.
- Support for a long-stay trip (you remain solely responsible for your arrangements; we provide advice only).
- Specific on-site support in Japan.
Example of checking the feasibility of your itinerary:
- Budget consistency
- Itinerary consistency
- Comparison of different transport options to see which is more cost-effective or feasible compared to other itineraries or modes of transport
- Assessing whether or not it is worthwhile to purchase a JR Pass
If you request an itinerary check, no additional research will be carried out. If you wish to carry out additional research together, this can be done for an additional fee agreed between the Company and the Client.
To ensure that our communications and service recommendations run smoothly, please note that:
- We strongly recommend booking the suggested services as soon as possible in order to benefit from the rates quoted; this step is essential for the smooth running of the rest of the service.
- Jade Voyage cannot be held liable for any increase, change or unavailability of rates, as the Company has no partnership with the service providers.
- The rates for services indicated in the suggested itinerary are provided for information purposes only. They may change without notice depending on the platforms offering the services.
- The Customer also accepts that the selected services are subject not to these Terms and Conditions, but to those of the relevant service providers. Thus, in the event of a dispute, Jade Voyage’s role is limited to providing travel planning advice, and the Company may under no circumstances act on the Customer’s behalf.
⚠️ Jade Voyage shall also not be held liable in the event that the Customer books a service not mentioned in the proposed itinerary, or in the event of an error in providing the personal information required by the service providers.

3- Ordering procedures
The process is the same for both travel planning and guided tours.
1 - Contact Jade Voyage via the contact form or the appointment request form, via social media or by email.
2 - Communication via email or phone call/text message to arrange an initial consultation, marking the start of the collaboration; the Client can outline their project.
3 - Booking of the initial consultation, during which the Client explains their project in greater detail and Jade Voyage asks further questions to fully understand the Client’s needs and provide a tailored proposal.
4 - A summary email of the project and requirements to verify that there are no errors regarding the Client’s wishes, accompanied by a corresponding quotation and these Terms and Conditions.
5 - Electronic signature of the quotation and Terms and Conditions, and payment for the order.
6 - Commencement of services tailored to the chosen package, as summarised in the quotation and invoice.
Specific process for the all included prices :
-
Once the balance of the invoice has been received: a video call lasting approximately one hour to explore the topics discussed during the initial meeting or via email correspondence
-
Within a reasonable timeframe depending on the project: Jade Voyage will research services, usually in the following order: flights > accommodation > activities > other. The timeframe for delivering proposals will be tailored to the Client’s travel dates. If it is too early to book certain services, Jade Voyage will inform the Client. Where services can be booked immediately, Jade Voyage will aim to send proposals within 14 working days (excluding weekends and public holidays). If this timeframe cannot be met, Jade Voyage will inform the Client immediately and undertakes to explain the reason for the delay.
-
Second consultation via video call, telephone or in person, depending on availability: to ensure the itinerary aligns with the Client’s wishes and to make any necessary adjustments before final confirmation. The Client may request minor changes (change of accommodation or activity, reorganisation of a stage); however, in the event of a significant change requiring further research, this modification will be subject to a new quotation.
-
No later than one month before departure: the travel booklet, containing all the information necessary for the smooth running of the holiday, will be provided to the Customer. If the booklet is ready earlier, it may be provided to the Customer in advance.
Specific process for the tailored support prices :
1 - Contact Jade Voyage via the contact form or appointment request form, via social media or by email.
2 - Exchange via email or phone call/text message to arrange an initial meeting and decide on the general scope of the discussion.
3 - A meeting lasting approximately one hour to one and a half hours, during which the client can ask any questions they may have.
4 - Provision of a summary document of the consultation in PDF format. Should the information provided change prior to departure, Jade Voyage undertakes to inform the client where possible.
Please note: on-site assistance throughout your stay is only available with the all-inclusive package. Unless the special support package includes the creation of an all-inclusive holiday, or if this request is arranged à la carte (on its own) or in conjunction with another service.
Platforms used to provide the services :
I use various search engines, as well as various external platforms (e.g. Booking, Google, etc.)
I usually plan my itinerary using Wanderlog or Google Maps (My Maps).
Other tools for creating visual or textual content can be used, such as Google Suite, Canva, GIMP, etc.
Collection of information for the provision of services
The default language used for communications, travel documents and contractual documents (quotations, Terms and Conditions, contract) is French. If one or more participants are not French-speaking, a version in English, Spanish or Japanese may be provided.
If the client notices any errors in their booking or wishes to amend crucial information before signing the quotation and these Terms and Conditions, they may do so.
Information gathered during meetings, via email or during telephone conversations is used for the purpose of planning bespoke and personalised travel arrangements. It is necessary for the smooth running of the services. Jade Voyage undertakes not to use the data provided by the Client for any other purposes without their prior consent. In particular, Jade Voyage collects the Client’s contact details (surname, first name, postal address, etc.) for invoicing purposes, as well as travel details (dates, requirements, number of people, etc.).
Consequently, the Customer undertakes to provide accurate, reliable and consistent information regarding their requirements. Any incorrect information may hinder the smooth provision of Jade Voyage’s services. This includes, in particular, travel dates, approximate budget, number of travellers, travel style, any special requirements (disability, allergies, medical conditions, etc.) or any other relevant information.
The order cannot be considered valid until the Customer has carefully read and signed the quotation and these Terms and Conditions, and has paid the balance for the service.
We remind you that any confirmation and signature of the contractual documents implies full and unconditional acceptance of these Terms and Conditions, without exception or reservation.
Following confirmation of the order, the Customer will receive an invoice detailing the contents of the selected offer(s).
Order refusal
Jade Voyage reserves the right to refuse any order deemed unfeasible if:
- the project is inconsistent with Jade Voyage’s values or contravenes public decency.
- the project is too complex and requires specialist expertise for health reasons (high-altitude mountaineering, etc.
- the project is a last-minute request with an unreasonable deadline that would compromise the usual quality of our services.
- invoices from a previous order remain unpaid or have required too many reminders.
- any other reason not mentioned above.
Jade Voyage undertakes to explain the reasons for any refusal to the Client.
Data collection and archiving
Communication and order-related data (quotes, invoices, signed terms and conditions, etc.) are stored on a secure medium to serve as proof of contract and as a reference for the planning process.
Jade Voyage retains data solely for the purpose of providing appropriate services and to maintain a record of the Customer should they book further services at a later date, in order to offer them potential rewards for their loyalty.

Prices for meetings only (as a part of the taillored support prices)
Price for a one-hour consultation: €50
Price for a one-and-a-half-hour consultation: €70
The sale price corresponds to that indicated on the invoice, valid at the time of the order. Jade Voyage reserves the right to amend its rates at any time by posting the changes on the Website. Any changes to rates will not affect orders that have already been invoiced and paid for.
You can find the price of each offer in the ‘À la carte travel’ tab.
Jade Voyage undertakes to inform the Customer in a fully transparent manner of the prices of its services, payment terms, its limitation of liability and any other relevant information, prior to any order confirmation and, by extension, prior to the conclusion of a sales contract through the signing of a quotation and these Terms and Conditions.
5 - Payment details
Signing the quotation and the Terms and Conditions constitutes acceptance of the services and associated rates. The Client undertakes to pay the amount stated on the invoice.
For the special support rate, payment is due immediately upon receipt of the invoice and before the appointment.
For the ‘all included prices’ package and guided tour, payment in two instalments is accepted if the service exceeds €300. In this case, a deposit of 50% of the total balance must be paid upon receipt of the invoice. The balance must be paid no later than 30 days after receipt of the deposit.
For payment in two instalments, only flight searches may be carried out between the payment of the deposit and the payment of the balance, as this is considered the most urgent service. The remaining searches will be carried out after receipt of the balance (total amount of the service).
For services and quotes under €300, the balance must be paid within 15 days of receiving the invoice. After this period, Jade Voyage cannot guarantee that the quoted prices will remain the same, nor can it guarantee that the service will actually be provided. The quote will therefore become void and a new request will need to be submitted.
Payment is to be made by bank transfer to the account designated for Jade Voyage’s business activities. The bank details are attached to the invoice. No transfer fees of any kind may be charged to Jade Voyage; these fees remain the responsibility of the Client.
No discount will be applied for early payment
No bespoke budget estimate can be provided free of charge prior to the signing of the quotation; only a general estimate based on the seasons can be provided for information purposes.
Once the order has been paid for and research has commenced, no refund requests will be accepted, as the service invoiced corresponds to the time spent on research for the Client’s benefit. Furthermore, as the research content is bespoke, it cannot be reused for other orders.
The Client may, however, exercise their right of withdrawal in accordance with the terms set out in Section 6 of the Terms and Conditions.
6 - Droit de rétractation
The right of withdrawal allows the Customer to withdraw from the signed contract (Terms and Conditions accepted) within 14 days of signing it. The Customer may withdraw from the contract and request a refund of any sums paid within this period, in accordance with Article L221-18 of the Consumer Code.
Non-application
In accordance with Article L221-8 of the Consumer Code: the right of withdrawal may not be exercised in respect of contracts:
1* For the provision of services that have been fully performed before the end of the withdrawal period and where performance began after the consumer’s prior express consent and express waiver of their right of withdrawal;
13* For the supply of digital content without a tangible medium, the performance of which has begun before the end of the withdrawal period and, under the contract, the consumer is obliged to pay where:
a) they have given their prior express consent for the performance of the contract to begin before the expiry of the withdrawal period; and
b) they have acknowledged that they will lose their right of withdrawal; and
c) the trader has provided confirmation of the consumer’s agreement in accordance with the provisions of the second paragraph of Article L.221-13.
The Customer is therefore advised that from the moment the Company begins researching services and designing the bespoke itinerary (i.e. after receipt of full payment for the service), they will no longer be able to exercise their right of withdrawal.
The Customer therefore acknowledges the loss of their right of withdrawal in full knowledge of the facts if they wish to benefit from the service within the time limits specified in Article 5 (Terms of payment).
Jade Voyage informs the customer that they have 24 hours from receipt of payment for the order to cancel. Once this period has elapsed, the Company considers that it may commence its search, and the Customer will no longer be able to exercise their right of withdrawal or request a refund.
7 - Provision of services
As stated in section 4, the proposed itinerary will ideally be sent within 14 working days (excluding weekends and public holidays) of receipt of full payment for the service.
Once the 24-hour withdrawal period mentioned in section 6 has elapsed, the research will begin.
The first document provided contains flight suggestions so that bookings can be made as soon as possible. This document will not be provided if the Client has already arranged their own flights.
The second document provided contains:
- a proposed itinerary that is optimised, coherent, tailored and feasible, designed to suit the Client’s preferences, interests and constraints (fatigue levels, disability, budget, or any other criteria that may affect the route).
- accommodation searches and the associated booking links.
The third document provided contains :
- Suggested itineraries tailored to the Client’s interests.
This information will be recorded in the Client’s travel journal according to their choices.
The Client is strongly advised to check the accuracy of the information (number of people, times, date of the service, etc.) before booking anything.
Once these two documents have been obtained, a meeting is arranged with the Client to confirm that all suggestions are in line with the plan. It is possible to adjust the arrangements before the final confirmation of the itinerary and selected services. It will also be possible to verify the accuracy of the information provided.
The Client must make bookings independently, without assistance from Jade Voyage, but may use the PDF guides provided throughout the process; however, they undertake to provide accurate information, as they will be solely responsible in the event of any omission or error
The Customer is also advised to book as soon as possible upon receipt of the various documents, in order to benefit from the advantageous rates provided for information purposes. Jade Voyage cannot be held liable for any increase in rates applied by the service provider, or if the proposed accommodation is fully booked, should the Customer fail to make their bookings without delay.
Jade Voyage offers an advisory, support and on-site guide service. The Company therefore cannot under any circumstances act as an intermediary between the Customer and any service provider before, during or after the trip. It is therefore the Customer’s sole responsibility to verify the accuracy of the information they provide with each booking.
Jade Voyage cannot be held liable in the event of any changes, cancellations or downgrades to any of the services booked. Once the proposed itinerary and final services have been confirmed by the Customer, the Customer will receive a personalised travel itinerary in PDF format, including at least:
- a summary of their itinerary
- the selected services
- an interactive map showing the stages of the trip (accessible via an internet connection)
- expert advice to ensure the smooth running of the holiday.
8 - Cancellation of services
If the Customer does not respond to the proposed itinerary within 15 working days (excluding weekends and public holidays), Jade Voyage will consider it to have been accepted and will cease searching for services.
If we do not hear from the Customer, the travel itinerary will not be provided.
As mentioned in section 5, once the search has begun, no refund requests will be accepted.
9 - Travel formalities
As Jade Voyage offers only advisory services for travel planning, the Company is unable to provide services such as travel insurance. However, Jade Voyage can recommend the most suitable insurance policies for the Customer’s plans.
Jade Voyage cannot require the Client to take out travel insurance, but strongly recommends it. Some credit cards provide insurance, but these do not always cover the entire trip or the whole group. The Company recommends that the Client contact their bank to check the extent of their credit card’s cover.
Jade Voyage provides as much pre-departure information as possible, but cannot be held liable for any omissions; it is the Customer’s responsibility to check that the information is up to date via government and official websites such as the Ministry of Foreign Affairs or the Japanese Embassy, which will be listed in the travel booklet. Indeed, legal information may change at any time, including during the duration of the stay.
Jade Voyage strongly recommends that travellers register with Fil d’Ariane, a government scheme that records you as being abroad. Registration is free and the Customer will receive email alerts regarding events taking place in Japan during their stay.
10 - Limitation of responsibilities
Jade Voyage offers travel planning consultancy services and is bound by an obligation of means (providing advice on services tailored to the Client’s needs and making its expertise and contacts available).
The company is under no obligation to the Client regarding the outcome of the trip or the availability and prices of services. The Client, for their part, is under an obligation to cooperate (by providing accurate personal details and travel preferences) and to make payment.
As a travel planner without Atout France accreditation, the company is not authorised to sell services. Consequently, Jade Voyage may suggest services to the Client based on their expectations, but may under no circumstances handle payments or make bookings on their behalf. The Company may under no circumstances act as an intermediary with service providers (accommodation, transport, etc.) on behalf of or in the name of the Client.
The Company is not authorised to access the Customer’s personal data. It cannot therefore assist the Customer with their bookings. This includes support via video call or other means. However, Jade Voyage may provide video or image tutorials using dummy data, so that the Customer can make their own bookings independently, particularly on websites available only in Japanese or English.
Jade Voyage cannot be held liable in the event of a service provider failing to deliver their services. It is the Customer’s responsibility to contact the relevant departments to find a solution. Similarly, Jade Voyage cannot be held liable in the event of a service being altered or cancelled, or accommodation being downgraded, etc. Jade Voyage may, however, direct the Customer to the relevant contacts and advise them on the course of action to take.
Furthermore, the Company cannot be held liable for any disappointment experienced by the Client regarding a service suggested in the proposed itinerary or travel itinerary that they may have booked on their own initiative, or for any unforeseen circumstances. Jade Voyage’s liability is limited to the advice provided. The Client must therefore ensure that the services offered are suitable for them.
The Customer undertakes to provide Jade Voyage with accurate information to ensure the order is fulfilled correctly. They may request minor amendments as the project progresses. However, if the amendments require the research to be restarted from scratch, a new quotation will need to be drawn up and any services already paid for cannot be refunded, in accordance with sections 5 and 6.
If the Client decides to cancel their trip after having benefited from the itinerary and service research, they will not be entitled to a refund. This is because Jade Voyage’s service is limited to travel advice and is not linked to whether or not the trip ultimately takes place. Furthermore, the Client may reuse the research carried out for their future trip, for example by adapting it to new dates.
Finally, Jade Voyage provides as much information as possible on procedures, tourist information and service providers’ services in its documents, but the Customer is aware that these may change between the time the travel booklet is handed over and the trip itself. Jade Voyage cannot be held liable for such changes.

13 - Conflicts and mediation for consumption
In the event of a dispute between the Customer and the Company, they shall endeavour to resolve it amicably (the Customer shall submit a written complaint to the trader or, where applicable, to the trader’s customer service department).
If no amicable agreement is reached, or if the trader fails to respond within a reasonable period of one month, the Customer, as a consumer within the meaning of Article L.133-4 of the French Consumer Code, shall have the option, should a disagreement persist, to refer the matter free of charge to the competent mediator listed on the register of mediators drawn up by the Commission for the Evaluation and Control of Consumer Mediation pursuant to Article L.615-1 of the French Consumer Code, namely:
Médiation Professionnelle
24 rue Albert de Mun - 33000 Bordeaux
In the absence of mediation, or if mediation fails, the dispute may be brought before the competent courts.
14 - Force majeure
Jade Voyage shall not be held liable in the event of non-performance or delay in the performance of its obligations resulting from circumstances beyond its control, classified as force majeure. Such events include, without limitation, natural disasters, pandemics, strikes, industrial disputes, acts of war or terrorism, and disruptions to telecommunications or energy supply networks. In the event of force majeure, the performance of the contractual obligations shall be suspended for the duration of the event, and Jade Voyage shall do its utmost to resume its services as soon as conditions permit.
15 - Applicable law and jurisdiction
These general terms and conditions are governed by French law. In the event of a dispute that cannot be resolved amicably or through mediation, the French courts shall have exclusive jurisdiction, unless otherwise required by mandatory statutory provisions.
The Customer agrees that any legal proceedings shall be brought before the courts within the jurisdiction of Jade Voyage’s registered office, unless another jurisdiction is designated by law.
